Job Description

As we continue our expansion and rapid growth journey, you would be the driving force helping our CEO to stay focused on achieving their objectives and making sure their operations are running smoothly. As an Executive Assistant, you would be responsible for providing comprehensive support to the CEO, Board of Directors, and Executive Team and managing the organization’s office operations.

You will work side by side with the CEO to maximize their effectiveness and stay focused on achieving their objectives. Using your organizational skills, you’ll remove all administrative pressures from their life, balance their responsibilities, and deal with any issues before they arise. You’ll identify gaps, initiate change, and streamline processes. Being the CEO’s trusted advisor and a sounding board for feedback, you’ll amplify their communication and ensure their vision is implemented across the organization.

We are a technology firm; hence you’ll be embedded into the engineering and development function. In this role, you’ll get to take on various projects within the engineering organization, work closely with the CTO’s direct team and become deeply involved in the business. As an EA, the connections you build and relationships you develop will be the key to the success in this role.

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the CEO’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team, Board of Directors, and leaders that report to the CEO. To perform this job successfully, you are expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.
Primary Duties And Responsibilities
  • Work directly with the CEO to support all aspects of his daily work routine.
  • Provide sophisticated calendar management for CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. Maintain the CEO’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
  • Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
  • Provide coordination, monitoring, and communication of projects, products and programs managed by Project and Product Teams.
  • Assist in PMO activities and processes including project planning, intake, prioritization, initiation, execution, and training, as well as in fostering collaboration of end-users and key stakeholders.
  • Work with the Executive Team to coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.
  • Manage all aspects of organization’s office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization.
  • Manage information systems operations including hardware, software, desktop support, internal telecommunications, and strategic systems development and planning. Provide leadership to all levels of the organization, to meet their current and future information needs.
  • Maintain electronic filing systems. Sort and triage mail; maintain e-mail and other address directories.
  • Maintain confidential and sensitive information.
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

Skillset And Background
  • Bachelor’s degree preferred
  • Three to five years’ prior experience in supporting a senior executive or team
  • Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
  • Exceptional writing, editing, and proofreading skills
  • Familiarity with the tech startup industry is a plus
  • Excellent organization and time-management skills
Working Conditions/Other Data
  • Due to the confidentiality of the work, the functions of this position should be performed in a private office location.
  • Occasional travel may be involved
