Job Summary:

We are seeking a detail-oriented and proactive Documentation Officer to manage, track, and process all operational and regulatory documents related to our marine services. The ideal candidate will have experience in maritime documentation, strong organizational skills, and the ability to work in a fast-paced, deadline-driven environment.



Key Responsibilities:

• Prepare and process shipping and marine operations documents including manifests, delivery orders, clearance certificates, port permits, and agent notifications.

• Ensure timely submission of documentation to relevant authorities (e.g., NPA, NIMASA, Customs, DPR, Navy) in compliance with all maritime regulations.

• Liaise with ship agents, port officials, customs, and other stakeholders to facilitate seamless vessel clearance and agency operations.

• Maintain accurate and up-to-date documentation for vessel chartering, AGO bunkering, and STS transfer operations.

• Compile post-operation reports, reconcile documents, and maintain proper archiving for internal audits and client review.

• Track vessel schedules, cargo status, and documentation timelines to avoid delays and ensure operational efficiency.

• Support the operations team in documentation-related tasks and communicate updates or discrepancies to the relevant departments.

• Ensure strict compliance with maritime laws, safety standards, and internal company policies.



Qualifications & Experience:

• Bachelor’s degree in Maritime Studies, Business Administration, Logistics, or a related field.

• 2–5 years of experience in a similar role within the marine, oil & gas, or logistics sector.

• Familiarity with maritime operations such as ship agency, chartering, AGO supply, and STS is highly desirable.

• Strong understanding of port operations, shipping documentation, and relevant regulatory requirements.

• Proficiency in MS Office Suite (Word, Excel, Outlook).

• Excellent organizational, communication, and interpersonal skills.

• Ability to work under pressure and manage multiple priorities.

• Knowledge of vessel chartering procedures, AGO supply documentation, or STS operations documentation.

• Familiarity with port community platforms and e-clearance systems in Nigeria.
